Many companies now work with "Microsoft 365" and therefore with Outlook, Teams, OneDrive, SharePoint, M-365 groups, etc.
All these applications are cloud-based and the data is stored on "some" Microsoft server "somewhere"! It is often difficult to understand where your own data is backed up. Especially when companies work with OneDrive and/or SharePoint shares and/or share data in Teams or Office 365 groups. Unfortunately, where many hands (or mice) are involved, mistakes can easily happen, and not always in such a way that you notice the error straight away.
This makes it all the more important to have a sensible backup strategy for the M-365 data. Microsoft's backup strategy is available, but it is also very limited:

It's easy to accidentally delete data or move it to the recycle bin.
All this data is backed up by Microsoft and Microsoft automatically deletes data that is in the recycle bin (business, school or university account) after 93 days. For private OneDrive accounts, this is only 30 days.
Depending on this, admins of business accounts have an additional 14 days after deletion to contact Microsoft support to retrieve lost data.
An external backup is not more secure and much easier with Microsoft.
