Customised registration system using WordPress and Zoho CRM

From online registration to centralised management in the CRM

For this project, we developed a bespoke registration system based on WordPress and Zoho CRM. The aim was to make it easy to register via the website whilst, at the same time, integrating the information collected directly into the existing processes in Zoho CRM.

The result is a solution in which WordPress and Zoho CRM do not operate as separate systems: data is automatically exchanged between the website and the CRM and is available exactly where it is actually needed.

The starting point

With traditional registration forms, the process often ends when the form is submitted. The data is sent by email, stored separately or must then be entered manually into a CRM system.

The aim of this project was to digitise the entire process end-to-end. At the same time, different users were to be granted access to the login details relevant to them – without each user needing their own account on Zoho CRM.

The solution: WordPress directly linked to Zoho CRM

The registration system that has been developed links the WordPress website directly to Zoho CRM.

Prospective participants or attendees register via a bespoke form on the website. The data collected is automatically transferred to Zoho CRM, where it is assigned to the relevant records and processes.

The integration also works the other way round: information from Zoho CRM can be retrieved on the WordPress website and displayed to authorised users.

This makes Zoho CRM the central database, whilst WordPress provides the customisable user interface.

Restricted areas with individual access rights

A key component of the project is the secure user areas on the website.

Once logged in, users see exactly the information and functions intended for their task. For example, registrations, participant details, status updates or other data from Zoho CRM can be clearly displayed on the website.

Access rights can be controlled on an individual basis. This means that different user groups can be granted different views and functions.

Access to CRM data without the need for an additional Zoho licence for each user

A particular advantage of this solution lies in the way the data is made available.

Not everyone who needs specific information from Zoho CRM has to work directly in the CRM. The required data can be retrieved via the interface and made available in the secure WordPress area.

Depending on the specific Zoho licence model and the intended use, this can help to avoid the need for additional Zoho user licences if users only require access to certain information or functions via the website.

Automated emails and processes

Once you have registered, further processes may be triggered automatically.

Confirmation emails can, for example, be sent immediately after a successful registration. Reminders, status updates, internal notifications or customised follow-up processes are also possible.

The content can be dynamically compiled from the login details and the information stored in Zoho CRM.

Automatic cost calculation

Different prices and more complex calculations can also be integrated directly into the registration process.

Depending on the selection, participant category, offer or additional service, the system automatically calculates the relevant costs. The results can be displayed to the user immediately and transferred to Zoho CRM at the same time.

This also makes it possible to replicate registration processes that would be difficult to implement effectively using a standard contact form.

Online payments can be integrated directly

For events or services that incur a charge, the process can be extended to include online payment.

This results in a fully digital process:

Select a quote → sign up → calculate costs → pay → process data in Zoho CRM.

The payment status can also be used subsequently for further processes and displayed to the relevant personnel in the secure area.

The result

By integrating WordPress and Zoho CRM in a bespoke way, we have created a registration system that goes far beyond a traditional online form.

Registrations are processed centrally; data does not need to be entered multiple times, and different users are granted targeted access to the information they require.

At the same time, the solution remains flexible and scalable. New forms, user groups, calculations, email automations, payment processes or additional CRM functions can be added as required.

In this way, WordPress and Zoho CRM become a shared digital platform for registration, management and automation.
